Aluk received supplier invoices through a shared mailbox that also handled bank statements, general queries, and other correspondence. Every invoice had to be manually identified, classified, and processed, at a cost of 5 to 10 minutes per document, with a high risk of errors across more than 200 supplier formats.
Valenta implemented a two-layer automation combining Power Automate and UiPath, with Microsoft Azure OpenAI at the core. A 24/7 dispatcher monitors the mailbox, identifies invoices, and routes them automatically. Azure OpenAI, the enterprise-grade version of ChatGPT hosted in a secure private environment, then extracts and classifies invoice data regardless of supplier format, without the need to manually train each template. UiPath connects directly to SAP and loads the data automatically.
The result: processing time reduced from 5 to 10 minutes per invoice to 1 to 3 minutes, with near-zero manual handling, full compliance with enterprise security requirements, and a scalable foundation capable of handling hundreds of supplier formats without additional configuration.
